Free printable PDF

Download an inventory count sheet.

Two A4 pages: a blind count sheet for the shop floor and a reconciliation sheet for the reviewer. The blind sheet hides expected quantities. Print as many copies as you need; no account or email is required.

The PDF is a blank manual template. Use the browser worksheet for calculations and CSV export. Neither version changes your store's stock.

Your count worksheet

Use one row per SKU or variation. An empty count means “not counted”, never zero.

Start with your real product list

Open a WooCommerce stock export.

Choose a product CSV to preview the stock records before adding them to this worksheet. The file is read in your browser; it is not uploaded. Counts and costs start blank.

UTF-8 CSV · up to 5 MB · 200 count rows. Use English columns Type, Name, Stock, plus SKU or ID. Export a small selection under Products → All Products → Export. Sales prices are never treated as unit costs.

Use one currency for all unit costs. Difference = counted − expected; cost difference = difference × unit cost. A negative expected quantity can represent backorders; physical counts and unit costs must be zero or greater. The downloaded count CSV is a review record, not a WooCommerce update file. This worksheet does not adjust stock. Printing hides expected stock and results so staff can count blind.

How to run a count you can review

  1. Define the scope. List one shelf, category or stockroom. Give each stock-managed variation its own SKU and row.
  2. Record the starting stock. Open a WooCommerce CSV export above, or enter expected quantities manually. Shared-stock children and rows without their own numeric stock are excluded from the import preview. Use cost per unit, not the selling price, if you want a cost difference.
  3. Count what is physically there. Print a blank-count sheet to keep expected quantities out of sight. Enter a real zero for a confirmed empty location.
  4. Review differences. Recount unexpected gaps. This worksheet compares two numbers; it does not account for orders, returns or deliveries during the count.
  5. Keep the record. Export the CSV, then use your store's approved stock-adjustment process. For a count inside WooCommerce, see Stocktake below.

From WooCommerce CSV to a count sheet

Keep Type, Name, Stock and at least one of SKU or ID in your export. We count a shared-stock parent once. Children whose Stock is blank or parent do not create another count row. A variation with its own numeric stock gets a separate row. Zero is a real stock value; blank stock is skipped. Rows without a SKU use id:123 as a worksheet identifier.

The example file was exported by WooCommerce 11.2.1 from synthetic products. Preview it to see individual variation stock, a shared stock pool, zero stock and a negative backorder balance. For export instructions, see WooCommerce’s CSV documentation.
